A last-minute cancellation usually means the truck will not arrive within the agreed pickup window that begins after your Vehicle Availability Date, or VAD. The VAD is the first day your vehicle is available for release. The pickup window is the number of business days after that date during which a carrier is scheduled to pick up.

Because next steps depend on those factors, confirming your shipment status is critical. If the order has not yet been dispatched, you generally have more flexibility. Once a carrier is assigned, different rules and replacement procedures apply. First Question: Was the Order Dispatched?

When a carrier drops late, you often move into the spot market for replacement capacity.

Distance and transport type drive the baseline cost. A shorter move under 500 miles typically runs $400 to $600 on an open carrier. By comparison, a shipment between 500 and 2,500 miles generally costs $800 to $1,300.

If a replacement is needed on short notice, pricing may exceed these standard ranges. The premium reflects the cost of fitting your vehicle into a route that was not originally planned around your pickup window.

Can I Cancel and Get My Money Back?

Cancellation rules are designed to protect both the broker and the carrier once scheduling moves forward. If your vehicle has not yet been dispatched to a carrier, you may cancel at that stage. 

After you accept an offer and a carrier is assigned, the shipment is considered dispatched, and canceling at that point generally means forfeiting your deposit. It is also important to avoid double booking with multiple brokers at the same time. If you cancel because you secured another carrier elsewhere, you will not receive a refund for your partial payment.

Protect Yourself at Pickup and Delivery

If a replacement carrier is secured, treat the inspection process seriously.

Clean the vehicle before pickup so existing damage is clearly visible. A dirty vehicle can undermine later claims.

The Bill of Lading is the inspection document signed and dated at pickup and delivery. It records the vehicle's condition, including scratches, dents, and keys, as well as estimated delivery information. You should review it carefully at both ends of the trip.

Do not sign the delivery Bill of Lading or tender payment to the carrier until you have inspected the vehicle and noted any damage while the driver is present. Signing without noting damage is treated as evidence of satisfactory delivery.
